As a proud part of our Yarra Jets FC community, we’re asking if you’re ready to be involved in our vision for getting everything right for our club community so that we can provide the greatest experience for everyone involved. We really want to be the best we can be but need your help to realise this.

Why the call for help?

Currently the club is operating an unsustainable model, relying on a handful of people in the club to run everything. This hinders the club from reaching its full potential and could result in the club community suffering, and therefore for your own experience at the club.

Specifically, we are after several volunteers to fill well considered roles in the FC, noting that multiple volunteers are sought for some roles:

U14-U18 Coordinator

  • Key liaison with relevant Rep Lead on the Club Committee
  • Assist Registration Lead with managing registrations of relevant players.
  • Collect and distribute uniforms to players, coaches and managers
  • Key point of contact for issues, opportunities and ideas from the players, coaches and managers to the relevant Rep Lead on the Committee
  • In collaboration with relevant Rep Lead and Marketing Coordinator promote the relevant teams on social media and other platforms.
  • Provide support to players, coaches and managers of the relevant teams.

U8-U13 Coordinator

Saturday Prog (U5-U7) Coordinator

Snrs Women’s Coordinator

Snrs Men’s Coordinator

Marketing Coordinator

  • Key Liaison with Community Club Volunteers Lead on the committee
  • Promote (comms) canteen for game day
  • Manage social media for the club

1-3hrs per week

Fundraising Coordinator

  • Key Liaison with Community Club Volunteers Lead on the committee
  • Organise social club events for players & guardians

20-25 hours across the year

Governance/Policies Lead

  • Key Liaison with Community Club Volunteers Lead on the committee
  • Draft policies for committee review & approval
  • Publish committee approved policies on website & communicate to club community
  • Draft governance model for committee review & approval
  • Implement committee approved governance model
  • Draft grants & review with Committee
  • Publish committee approved governance model on website & communicate to club community

20-25 hours across the year

Uniform/Merch Support

  • Support the Uniform/Merch Lead in the management, distribution and collection of uniforms.

10-15hrs across the season

Operations Support

  • Support the Operations Lead in the management of equipment and training and game day operations management.

1-5hrs per week

Jnrs Rep Lead

  • Key liaison between committee & players & guardians

Club Registrations Lead

  • Ensuring registrations are complete & valid pre season
  • Providing team sheets to Team Mgr Coord, Jnrs Rep Lead & Snrs Rep Lead
  • Database quality audit post season
  • Auto re-registration for next season
  • Big commitment in Jan/Feb/Mar and Nov/Dec

20-25 hours across the year

Community Club Volunteers Lead

  • Key liaison between committee & Community Club Volunteers

2-5hrs per week

Uniform/Merch Lead

  • Supplier relationship & management
  • Budget forecast
  • Tracking actuals
  • Key Liaison with Team Manager Coordinator
  • Planning, ordering & managing uniforms
  • Big commitment in Jan/Feb/Mar and Sep/Oct

50-60hrs across the season

Clubrooms Management Lead

  • Set up and management of the Canteen, including:
  • Organising food / BBQ bottles
  • Coordinate canteen volunteers for game day
  • Coffee cart
  • Manage contract & payment of clubhouse cleaners
  • Manage IT for club, such as Wifi and digital information boards

2-5hrs per week

Operations Lead

Pre – season (big commitment in Feb/Mar)

  • Allocation of grounds to teams / training schedule pre season Fairlea/Knott and Walker
  • Prepare and deliver coaches equipment bag to coaches as coaches come online
  • Prepare and deliver team manager bags to managers as managers come online
  • Ensure there is ample equipment : - Goals / nets / flags / Size 5, 4, 3 training balls / match balls / whistles / pumps / matchbooks (and anything else required)
  • Register best guess of final number of teams with FV (usually done by President)
  • Manage fixturing with the FV (early season – a fair bit of email and effort to ensure no clashes)
  • Monitoring of ground quality pre/ during/ post season

Season proper

  • Ensure smooth transfer of training to Fairfield (few hours early season)
  • Assign training slots and grounds to teams/coaches as the teams are finalised
  • Ensure no fixturing clashes on a weekly basis (1/2hr once a week)
  • Top up of equipment as requested from coaches as the season progresses

Game day

  • Ensure grounds are set up every Sunday, pitches marked out and named, people to set up / dismantle goals, timely transfer of pitches between games etc. (all day Sunday – every Sunday)
  • Pack up and ensure equipment ok for following week
  • Marshalls for game day (need to roster this depending on game schedule)

50-60hrs across the season

All of the duties listed are still forming, but in an effort to achieve progress over perfection we wanted to get the ask out sooner so that the wider community can help shape the roles and their duties.
